USD Quoting and Payment Tracker

Quote in dollars, track every payment and know what is left after fees. Excel and Google Sheets.

Guessing quotes, losing track of which payments are still due and discovering platform fees only when the money lands: that happens to almost every freelancer who starts working with clients abroad.

This spreadsheet puts the three things in one file: a sheet to quote in USD with automatic expiry dates, a sheet to log every payment with its platform fee, and a summary that shows what you quoted, what you collected net, what is still pending and how much to set aside for taxes.

No macros, no exotic formulas: it works the same in Excel, Google Sheets and LibreOffice.

What is included

  • Config sheet: your base rate, local currency, reference exchange rate, default fees and tax reserve percentage.
  • Quotes sheet: one row per proposal, with subtotal, discount, total in USD, color-coded status and automatic expiry date.
  • Payments sheet: every payment with its platform (PayPal, Payoneer, Wise, Deel, bank transfer), variable and fixed fee, net in USD, net in your currency and suggested reserve.
  • Summary sheet: total quoted, accepted, collected gross and net, fees paid, pending and acceptance rate.
  • Instructions sheet and a README: how to get started in five minutes.
  • Spanish version and English version, in the same purchase.

Who it is for

  • Latin American freelancers and remote workers who get paid in USD by international clients.
  • People who quote by the hour or by project and want a clear record without learning new software.
  • Anyone using PayPal, Payoneer, Wise or Deel who wants to see fees before the money arrives.

What it does not do

  • It does not compute taxes or issue legal invoices: the tax reserve is an editable estimate.
  • It does not fetch live exchange rates: you enter the rate.
  • It is not legal, accounting or tax advice.

Formats

.xlsx files (one in Spanish, one in English) inside a ZIP. Compatible with Excel 2016 or later, Google Sheets (File > Import) and LibreOffice Calc.

FAQ

Does it work in Google Sheets?

Yes. Import the .xlsx file from File > Import. Formulas, dropdowns and conditional formatting are preserved.

Are the PayPal and Wise fees up to date?

They ship as editable example values. Fees change by country and account type, so the spreadsheet asks you to enter the ones from your own account.

Can I get a refund?

Yes, within 14 days if the file does not open or does not do what this page describes. See the refund policy.

Do I get updates?

Yes. When we improve the spreadsheet you can download it again from your purchase link.
